In order for the Agent Portal to be used, we need to know some of your personal details (also “personal data”). For the purpose of relevant data protection legislation, White Key Villas is considered to be the Data Processor and the Data Controller.

We collect the following personal data: name, surname, professional e-mail, telephone number and your professional address.

We collect your personal data about you when you use the Agent Portal, contact us via e-mail, over the telephone or face to face.We collect this personal data from you only directly, when you accept Agent Portal’s Terms & Conditions, and when you communicate with us via e-mail, telephone or face to face.
How do we use your Personal Data?
We use your data:
1. To register you on Agent Portal: For this purpose, we use your name. Our legal basis for this processing is the performance of Agent Portal Terms & Conditions, [GDPR art.6(1)(b)] and the satisfaction of our legitimate interests [GDPR art. 6(1)(f)], for example the developing of our services.
2. To manage our relationship with you which may include corresponding with you by phone, e-mail, live chat or face to face, notification to you about changes to our Terms & Conditions, communication regarding new clients, bookings etc. For this purpose, we use your identity details (name, surname) e-mail address, professional telephone number and address. Our legal basis for this processing is the performance of the Terms & Conditions [GDPR art. 6(1)(b)] and the satisfaction of our legitime interests [GDPR art. 6(1)(f)], for example the developing of our services, or the management of the relationship between us and the execution of the villa’s bookings from the clients.
3. To fill out the Booking Forms with the clients: For this purpose, we use your identity details (name, surname, professional e-mail and telephone number and professional address). Our legal basis for this processing is the performance of the Terms & Conditions [GDPR art. 6(1)(b)].
Use of Cookies
Agent Portal does not use Cookies.
How do we look after your personal data?
We provide physical, electronic and procedural safeguards to protect information we store, maintain or otherwise process from accidental or unlawful destruction, loss, alteration, unauthorized disclosure or access. We limit access to your data to authorized employees who need to know this information in order to operate, develop or improve our services.
How long do we keep your data for?
We will keep your personal data until our collaboration will be over according to the Terms & Conditions.
Do we share your Personal data with anyone else?
No, we do not share your data with any third party.

4. Right to erasure: You have the right to request from us the erasure of personal data concerning you, and we have the obligation to erase personal data without undue delay.
